Part A is the Oasis SoftApp Services policy, which applies to this website and to HotelSimplify. Part B adds what is specific to hotels, their guests and travel agents.
Part A: Oasis SoftApp Services
1. Scope of this Privacy Policy
This Privacy Policy describes how Oasis SoftApp Services may collect, receive, store, use and protect information shared through this website or through related channels such as email, WhatsApp, phone, demos, business enquiries, proposals, support discussions and project coordination.
It applies to information voluntarily provided by website visitors, prospective clients, existing clients, implementation stakeholders, vendors and other business contacts who interact with us in connection with our services or products.
2. Information we may collect
What we collect depends on the kind of interaction you have with us. It may include your name, company name, contact number, email address, location details you share, project requirements, product interest, support requests, screenshots, documents, workflow notes and other information you choose to provide for discussion, evaluation, service delivery or support.
- Contact details used for communication and follow-up
- Business and project information you share voluntarily
- Support-related information needed for troubleshooting or assistance
- Files, attachments or reference material needed to understand your requirement
3. How we collect information
We mainly collect information when you choose to contact us for business purposes — by email, WhatsApp, a call request, a product discussion, a proposal request or a support enquiry. We may also collect limited technical interaction data through normal website operation, hosting, security or performance monitoring.
4. How the information is used
We use what you share to understand your requirement, respond to your communication, provide service and product information, arrange demos, prepare proposals or estimates, deliver development work, support implementation, provide technical assistance and maintain operational and record-keeping needs.
- To respond to enquiries and follow up
- To assess software, website, product or support requirements
- To prepare discussions, estimates or implementation planning
- To deliver project, product or support services
- To maintain internal records for accountability and continuity
5. Basis on which information may be processed
Where relevant, information may be processed because you approached us voluntarily, because processing is necessary for business communication or pre-contractual discussion, because it supports service delivery or legitimate business operations, or because it is reasonably required for legal compliance, dispute management, security or protection of rights.
6. Sharing and disclosure
We do not sell your personal or business contact information. Information may be disclosed only where reasonably necessary for project delivery, technical implementation, operational coordination, infrastructure support, legal compliance, accounting, professional advice, dispute handling or protection of rights and security — and only to the extent needed for that purpose.
7. If you use an Oasis product
When you or your business sign up for an Oasis product (such as DesiMenus or HotelSimplify), we also process, in line with the Digital Personal Data Protection Act, 2023:
- Account details: your name, mobile number, email and, if you set one, a password (stored only as a hash)
- Business details you give us: legal and trade name, GSTIN, PAN and address
- Security records: sign-in attempts, devices and IP addresses, kept to protect your account
- Messages sent through the products: the address, the template and the delivery status
The business data your workspace holds (for example your customers' orders, bookings or invoices) is processed on your behalf to run the product. Messaging and payment providers that carry out a service for you are listed on Sub-processors.
8. Data retention
We retain information for as long as reasonably necessary for enquiry management, project communication, support continuity, commercial discussion, internal records, compliance obligations, financial documentation, dispute management or operational protection. The duration depends on the nature of the information and the business context.
9. Security
We take reasonable steps to protect information from unauthorised access, misuse, accidental loss, disclosure or alteration. No online platform, transmission method, storage medium or third-party communication service can be guaranteed completely secure, so please share business information with normal internet caution and professional judgment.
10. Third-party platforms and services
This website may link to or depend on third-party services such as email platforms, WhatsApp, hosting environments, communication tools or analytics tools. Your interaction with those services is governed by their own policies and terms, and we are not responsible for the privacy practices of services we do not own or control.
11. Cookies and technical data
This website uses only what it needs to work: a security cookie that protects the enquiry and grievance forms, your light or dark choice kept in your browser, and normal server logs for security and maintenance. Signing in through Login uses the Oasis account's own sign-in cookies. We do not use advertising cookies. If analytics or similar tools are introduced, this policy will be updated and suitable notices or consent practices put in place.
12. Your rights and requests
Subject to applicable law and practical limitations, you may contact us to request access to information you have shared, seek correction of inaccurate information, request deletion where appropriate, ask us to stop non-essential communication, or raise a concern about how information has been handled. We review such requests in good faith and respond as reasonably appropriate.
13. Your account and the grievance officer
If you have an Oasis account you can see and change your details in My account, ask for a copy of your data, or ask us to erase data we do not have to keep by law. Complaints about how your personal data is handled can be sent to our grievance officer or raised through the grievance form; we acknowledge within 24 hours and aim to resolve within 15 days.
14. Children’s privacy
This website and our services are intended for professional, institutional and business use. We do not knowingly collect information from children for independent consumer-style use of the website.
15. International access
Our operations are based in India. If this website is accessed from outside India, information shared with us may be handled in the context of Indian business operations, communication infrastructure and service delivery practices, unless a separate contractual arrangement states otherwise.
16. Changes to this policy
We may revise this Privacy Policy from time to time to reflect operational, legal, technical or website-related changes. The latest version published here should be treated as the current reference version.
17. Contact for privacy questions
If you have a question, concern or request relating to this Privacy Policy or the information you have shared with us, write to mail@oasisservices.in.
The latest version published here is the current reference version. Questions: mail@oasisservices.in.
Part B: HotelSimplify
Guest information that properties keep in HotelSimplify
A hotel, lodge, homestay or resort that uses HotelSimplify decides what it records about its guests and why. For that information the property is the data fiduciary, and Oasis SoftApp Services processes it on the property's behalf to run the service. It can include:
- Guests' names, mobile numbers, email and postal addresses
- Identity document details and copies, and Form C details for foreign nationals, which properties are required by law to record
- Bookings, stays, requests, feedback, bills, GST invoices and payments
- Group, event and venue bookings, with the contact person's details
Staff see only the properties and screens their role allows, and changes are recorded in an audit trail. A guest who wants to see, correct or erase their information should ask the property they stayed with; we help the property respond to that request.
Messages to guests
When a property switches on guest messages, HotelSimplify sends booking confirmations, web check-in links, invoices, payment links and feedback requests by SMS, WhatsApp or email, on the property's instruction and in English or Hindi. These links are personal: anyone who has the link can open that page, so please do not forward them.
Travel agents
Agencies that register for the HotelSimplify agent network give us:
- the agency's name, business type, address and contact details, and the mobile number of the person registering;
- PAN, GSTIN (if registered) and bank account details;
- KYC documents, such as a PAN card, GST certificate and a cancelled cheque;
- their acceptance of the agent agreement, which we keep with its version, the time, the IP address and the device used.
We use this to check the agency, decide whether to activate it, run its account and settle commission. Our staff see the full bank account number only while reviewing an application; the agency sees it masked. With the agency's consent, the details that Razorpay or PayU need to open a payout account are shared with them so that payments can be split. Every time our staff open a KYC document, it is recorded.
A property an agent books sees the agent's name and contact details, and the bookings, prices and commission that concern that property.
Online payments
Guests' online payments go through the payment provider the property chooses (for example Razorpay or PayU). Card, UPI and bank details are entered on the provider's own pages; HotelSimplify does not receive or store them.
This website and the helper
Requests sent from the forms on hotelsimplify.com (demo requests, questions and agent applications) are stored by Oasis SoftApp Services and used only to reply and follow up. Questions typed into the site's helper are answered on our server from this site's own content and are not sent to any other service. This website sets no cookies and loads nothing from other websites.
Counting visits to this website
To see how people find us, each page of hotelsimplify.com tells our own server that it was opened. We keep:
- the page, the time, and the kind of device (phone, tablet or computer);
- the website that sent you (for example a search engine or a social network) and any campaign or invite code in the link;
- the approximate city, state and country, worked out on our server from your IP address with an IP-to-city file (IP Geolocation by DB-IP, CC BY 4.0).
Your IP address itself is not stored, no cookie is set, and nothing is sent to another company. To count visitors, the server makes a short code from your IP address and browser with a value that changes every day, so a visitor can be counted on one day but not recognised on another. If your browser asks sites not to track you (Do Not Track or Global Privacy Control), your visit is not counted. Visit records are kept for up to 24 months and used only to improve this website and our marketing. Owners, staff and travel agents use HotelSimplify in the HotelSimplify app for Windows and Android; your sign-in is kept on that device so you stay signed in. Guests use the links the property sends them in their phone's browser.
The HotelSimplify sections are a draft for legal review and are read together with the Oasis SoftApp Services policy above.
